WARSAW LITERARY MEETINGS

A dozen steps to coordinate a Warsaw Literary Meeting


1. Discuss your idea for the theme and the keynote speaker with Professor Grażyna Bystydzieńska.

2. Together decide on the dates of the meeting, deadlines for abstracts, complete papers, and papers for publication (the meetings usually take place in November and May).

3. Contact the keynote speaker and inform Ms Dorota Traczewska about the dates of arrival and departure, so that accommodation can be booked.

4. Prepare the Call for Papers – a one-paragraph description of the theme and a list of possible topics for papers – and discuss it with Professor Bystydzieńska.

5. Send all the information about the meeting (theme, date, your name and affiliation, one-paragraph description and the list) to the WLM website administrator, Dr Lucyna Krawczyk-Żywko.

6. When the Call for Papers appears on the website, distribute the link to prospective participants of the meeting from the WLM e-mail address (you will receive the password in due time).

7. Between that moment and the meeting, you are responsible for corresponding with participants.

8. When the keynote speaker sends you the abstract of the plenary lecture, send it to the website administrator to be posted (suggested timing – close to the deadline for abstracts).

9. Upon receiving complete papers, prepare the programme of the meeting, including chairpersons; discuss it with Professor Bystydzieńska, and send it to Dr Krawczyk-Żywko.

10. When the programme is on the website, send a link to the participants and prospective attendees (should any of them wish to stay in Hera, please tell them to contact Ms Traczewska ASAP).

11. Share the texts with all participants via e.g. Dropbox or Google Drive.

12. 10 days before the meeting inform Ms Dorota Traczewska about the number of participants and attendees, so that snacks and drinks for the breaks can be arranged. Please note that we do not provide lunch.
